Definitions
Products and Services means the cloud-based Safety Management System tools, web dashboard, and mobile applications developed by OffshoreSMS.
The Platform means the web dashboard located at dash.offshoresms.com.au, the marketing website at offshoresms.com.au, and the OffshoreSMS mobile application on iOS and Android.
We / Us / Our means Offshore SMS Pty Ltd (ABN 96 636 451 217) and any holding companies, affiliates, employees, officers, agents or assigns.
Collection of Data
When you create a free profile on OffshoreSMS, we collect your name, a contact phone number, and an email address. This information is used solely to provide customised content and services to you - for example, to manage your profile, to add vessels, and to allow you to be added as crew on other vessels.
We also require all user accounts to have a secure password and access to either a validated mobile phone number or email address to enhance the protection of your data and to prevent unauthorised access to your account.
When you use the platform, we may also collect operational data you choose to enter - including vessel details, log entries, crew records, maintenance records, and compliance documentation. This data is stored securely and is only accessible to you and the users you authorise.
Data Hosting and Storage
All user data is stored securely on Google Cloud Platform (Firebase) infrastructure. Our primary data hosting is located in Australia. We use industry-standard encryption in transit (TLS/SSL) and at rest to protect your information.
Privacy of User Data
We will never share any user information, passwords, email addresses, or other user data with any other OffshoreSMS users or with any third-party businesses or individuals without the express consent of the user.
We place the highest value on the trust that our customers have placed in us and will always go out of our way to maintain that trust.
Third-Party Services
OffshoreSMS uses the following third-party services to operate the platform. Each service processes limited data as described:
- Google Cloud Platform / Firebase - data storage, authentication, and hosting
- SendGrid - transactional and notification emails
- Twilio - SMS notifications and multi-factor authentication
- Google Cloud Storage - file and image uploads
- Google Analytics - anonymous usage analytics (no personally identifiable information is shared)
We do not sell, trade, or otherwise transfer your personal information to any parties beyond those listed above, and only to the extent necessary to operate the platform.
Cookies and Analytics
Our platform may use cookies and similar technologies to maintain session state and improve your experience. We use Google Analytics to collect anonymous, aggregated usage data to help us understand how the platform is used and to identify areas for improvement. No personally identifiable information is shared with analytics providers.
Prominent Disclosure and Consent
The OffshoreSMS app may display an option to invite contacts from your device's contacts list to join the OffshoreSMS community. Inviting one or more of your contacts will send them a text message saying that you think they will find value in downloading the OffshoreSMS app, and nothing more. We will never share your contacts' data or use their contact information in any way outside of this purpose.
The OffshoreSMS app allows users to upload photos of their vessels and themselves to use as profile avatars. Some vessel logs also provide users with the option to upload photos of vessel defects, features, inventory, repairs, or maintenance-related content. Some images may contain metadata that is uploaded and stored securely in Google Cloud Storage. OffshoreSMS will never share any users' photos, uploads, or associated metadata with any third party outside of OffshoreSMS and Google Cloud.
By uploading an image from your own device, you agree that the image may be shared with other authorised users of the vessel(s) that you work on or manage in the app.
Your Rights
You have the right to:
- Access - request a copy of the personal data we hold about you
- Correction - request correction of any inaccurate or incomplete personal data
- Deletion - request deletion of your personal data, subject to any legal obligations we may have to retain certain records
- Data export - request a copy of your data in a reasonable timeframe

Data Retention and Deletion
We retain your personal data for as long as your account is active or as needed to provide you with our services. If you cancel your subscription or request account deletion, we will delete or anonymise your personal data within a reasonable timeframe, unless we are required by law to retain certain records.
Operational data (vessel logs, compliance records, etc.) may be retained for a reasonable period after account closure to satisfy regulatory or audit requirements. You may request a copy of your data prior to or after account closure.
Data Breach Notification
In the unlikely event of a data breach that affects your personal information, we will notify affected users as soon as reasonably practicable and in accordance with applicable Australian privacy legislation. We will also notify the Office of the Australian Information Commissioner (OAIC) where required.
Passwords and Logins
You are responsible for maintaining the confidentiality of your passwords and login details and for all activities carried out under your password and login.
All user-generated passwords are encrypted in the database and are not visible to OffshoreSMS developers or staff. The OffshoreSMS platform uses multi-factor authentication to provide additional methods of user validation and account security.
Accuracy of Content
We have taken proper care and precautions to ensure that the information we provide on this website is accurate. However, we cannot guarantee, nor do we accept any legal liability arising from or connected to, the accuracy, reliability, currency, or completeness of anything contained on this website or on any linked site.
